JOB SUMMARY:

The Division of Allergy, Pulmonary, and Critical Care Medicine is seeking to hire a Grants Manager to work in pre/postaward administration. The preferred candidate should possess the following qualities: ability to multi-task, extremely organized, efficient, detail oriented, a team-player and self-starter. Additionally, the candidate should possess strong communication and interpersonal skills and be able to think and function independently. The candidate should be dependable, professional, and personable.

KEY RESPONSIBILITIES:

  • The successful candidate in this position will be responsible for managing the pre and post award grants, contracts, and clinical trials submissions for the division of Allergy, Pulmonary, and Critical Care Medicine
  • They will be involved in the training of staff members on new policies/procedures as related to pre and postaward.
  • Independently manage budget responsibilities for grants. Prepare grant applications and initial budgets to include indirect costs calculations
  • Review and present reconciliation reports to faculty on a monthly basis to ensure accuracy of data
  • Prepare and submit new and renewal grant applicants, progress reports and clinical trial contracts via various formats (COEUS, PEER,) for Division's extensive and diverse portfolio of Federal and Non-federal grants, clinical trials, and other sponsored research programs. This includes the preparation, formatting, modifying, processing, and submission of grant and contract proposals.
  • Assist with the design, implementation, and maintenance of a record keeping and scheduling system for proposal submissions, progress reports, FSR's and other relevant deadlines.
  • Monitor funding agency requests and program announcements to keep informed of funding opportunities and deadlines as well as changes in policy.
  • Create, maintain, update and verify accuracy of faculty Other Support, biosketches, and MOU's.
  • Interpret guidelines, communicate, and provide assistance to division faculty and other staff as needed related to the grants and contracts development and submission process.
  • Responsible for monthly account and center reconciliation via DMS accounting system; independently research and address any discrepancies that are found; ensure accuracy of monthly center status reports with oversight from the DA. Update and distribute financial reports on a monthly basis to PIs and meeting with them for review.
  • Assist with the design, creation, implementation, and maintenance of a system for grant and contract budget periods to ensure recurring expenses are transferred to appropriate centers in advance of end date. Prepare and process center requests, budget submission forms, 1275s and other internal financial documents required. Prepare, verify accuracy, and submit journal entries, effort distribution changes, retroactive distribution changes, and cost transfer memos.
  • Maintain current knowledge of technology and VUMC processes by attending training classes provided by Office of Sponsored Programs, Office of Contracts Management and the Department of Finance.
  • Monitor terms and agreements of grant awards for compliance. Assist departmental PIs with RPPR and other progress report submission procedures ensuring accuracy of all reporting information.

  • provide state-of-the-art education and training including a strong fellowship program to inspire and nurture the next generation of leaders in allergy and immunology, pulmonary medicine, and critical care.
