Clinical Translational Research Coordinator II

The Critical Illness, Brain Dysfunction, and Survivorship (CIBS) Center is an interprofessional research team dedicated to improving the lives of patients and survivors of critical illness and injury, including COVID, delirium, dementia, cancer, PTSD, and depression.

Job Summary:
Responsible for coordinating the approval processes and conduct of research protocols, such that the integrity and quality of the clinical/translational research is maintained and the research is conducted in accordance within all policies, with some guidance.

Research MRI Key Functions:

• Contact patients to assess willingness and eligibility to complete research MRI
• Schedule research MRI
• Add research MRIs to calendar
• Mail appointment letters and directions to patients
• Email MRI screening surveys to patients or complete MRI screening surveys with patients via phone
  • If needed, finalize screenings by obtaining missing information from medical record system
  • Obtain return codes
• Send MRI screening return code for review/approval prior to scans
• Confirm appointments >24 hours prior to research MRIs
  • Confirm patients receive directions and notify to arrive 15 minutes prior to scan
  • Assess patients' mobility and if a wheelchair will be needed for transport
  • If patients cancel or need to reschedule, cancel reservations >24 hours prior to appointment and remove from calendar
• Call patients 15-30 minutes prior to scans to locate patients
  • If needed, obtain wheelchair prior to meetings
• Escort patients to scanner
• Provide MRI technician with return codes and assist in preparing patients for scan
• Upon completion, obtain accession number, MRI technician's name, and O2 % and document on study-specific checklist
• Download neuroimaging data zip file and upload to study-specific folder
• Enter research MRI data
• Email MRI analysts to notify of MRI completion
• Update research MRI tracking log

Blood Draw Key Functions (Outside Lab or Clinical Research Center "CRC")

• Contact patients to assess willingness to complete research blood draw
• Schedule research blood draws or blood processing (if drawn at outside lab).
• Add research blood draws to calendar
• Mail appointment letters and directions to patients
• Confirm appointments & complete COVID screening >24 hours prior to CRC research blood draws
  • Update COVID screening
  • Confirm patients receive directions and notify to arrive 15 minutes prior to scan
  • Assess patients' mobility and if a wheelchair will be needed for transport
  • Prepare microtubes with labels
  • If patients cancel or need to reschedule, cancel reservations >24 hours prior to appointment and remove from calendar
• Complete blood draws at outside lab (as needed) and transport tubes for processing
• Call patients 15-30 minutes prior to blood draw to locate patients
  • If needed, obtain wheelchair prior to meetings
• Escort patients to front desk for patient check-in
• Provide nurse with blood draw microtubes
• If needed, scan full cryoboxes, move to lab, and replace empty cryobox
• Obtain study-specific specimen logs from prior blood draws
• Enter specimen log data on study-specific form
• Update research blood draw tracking log
• Process outpatient samples as needed
